How can a foreign national create a Trusted Profile (Profil Zaufany)? Step-by-step guide

A Trusted Profile (Polish: Profil Zaufany) is a free means of electronic identification. It allows you to confirm your identity online, log in to Polish public administration systems and sign electronic documents submitted to public authorities.

The attached guide explains the basic registration rules, how to choose a bank or another identity provider, and how to check later whether the profile has been created correctly. Please note, however, that some system screens have changed since the guide was prepared.

The most important information for a foreigner

A foreign national may create a Trusted Profile (Polish: Profil Zaufany) if they are at least 13 years old; have full or limited legal capacity; have been assigned a PESEL number (Polish: numer PESEL); and can confirm their identity with an appropriate document.

A Trusted Profile (Polish: Profil Zaufany) is always linked to a specific PESEL number. Without a PESEL number, you can create an ePUAP account (Polish: konto ePUAP), but you cannot obtain an active Trusted Profile.

An ePUAP account (Polish: konto ePUAP) and a Trusted Profile (Polish: Profil Zaufany) are not the same thing.

An ePUAP account (Polish: konto ePUAP) allows you to use the platform, but only a confirmed Trusted Profile (Polish: Profil Zaufany) allows you to reliably confirm your identity and sign official correspondence with a trusted signature (Polish: podpis zaufany).

Where should you start?

A foreign national may start registration directly through the Trusted Profile – create a profile (Polish: Profil Zaufany – załóż profil);

In the ePUAP form (Polish: formularz ePUAP), you must provide, among other things:

– first name and surname (Polish: imię i nazwisko);

– PESEL number (Polish: numer PESEL), if you have one;

– username (Polish: login);

– password (Polish: hasło);

– email address (Polish: adres e-mail);

– telephone number (Polish: numer telefonu);

– required consents and declarations (Polish: wymagane zgody i oświadczenia).

After completing the form, you must pass a short technical check and confirm the data you provided.

What happens if you enter a PESEL number during registration?

If you enter your PESEL number when creating an ePUAP account (Polish: konto ePUAP), the system will automatically create a user account and an account in the Trusted Profile (Polish: Profil Zaufany) system.

However, this does not mean that the Trusted Profile (Polish: Profil Zaufany) is already active. The application must still be confirmed, for example at a confirmation point (Polish: punkt potwierdzający) or through a bank.

How can a foreign national confirm a Trusted Profile (Polish: Profil Zaufany)?

The system offers several ways to confirm your identity:

– a bank or another identity provider (Polish: bank lub inny dostawca tożsamości);

– an in-person visit to a confirmation point (Polish: osobista wizyta w punkcie potwierdzającym).

Method 1. In-person visit to a confirmation point (Polish: punkt potwierdzający)

This is the most reliable method for a foreign national who has a PESEL number but does not use a bank that supports confirmation of a Trusted Profile (Polish: Profil Zaufany).

Submit the application online and find a confirmation point (Polish: Złóż wniosek online i znajdź placówkę)

You may confirm the profile at any confirmation point; it does not have to be the authority competent for your place of residence or registered address.

A foreign national may present a document that allows their identity to be confirmed unequivocally. At some offices, when presenting a residence card (Polish: karta pobytu), an additional document confirming assignment of the PESEL number may be required.

The application is usually printed by an employee of the confirmation point. The foreign national checks the data and signs the document during the visit.

How much time is allowed to confirm the application?

An application to be confirmed at a confirmation point is valid for 30 days. If it is not confirmed within this period, you must log in and submit a new application.

It is safest to visit the confirmation point as soon as possible and check the deadline stated in the message generated by the system after the particular application has been submitted.

Method 2. Trusted Profile (Polish: Profil Zaufany) through a bank

The list of banks supporting the Trusted Profile (Polish: Profil Zaufany) is limited and may change. Check the current list directly in the system:

You can also open the Trusted Profile registration page (Polish: rejestracja Profilu Zaufanego) and select:

“Bank or another provider” (Polish: „Bank lub inny dostawca”).

Important for foreign nationals: the bank must verify your identity in advance

Creating a Trusted Profile (Polish: Profil Zaufany) through a bank takes place online, but the bank must already hold correct and verified customer data. A foreign national may first need to make an in-person visit to a bank branch (Polish: osobista wizyta w oddziale banku). This applies in particular where:

– the account was opened entirely remotely;

– the bank does not hold the PESEL number;

– only the passport number is recorded by the bank;

– the data held by the bank differ from the data in the PESEL register;

– the bank requires additional verification of a foreign document.

How do you create a Trusted Profile (Polish: Profil Zaufany) through a bank?

– Open the list of identity providers (Polish: lista dostawców tożsamości).

– Select your bank (Polish: Wybierz swój bank).

– Log in to online banking (Polish: Zaloguj się do bankowości elektronicznej).

– In the bank menu, find “Services” (Polish: „Usługi”), “e-Office” (Polish: „e-Urząd”) or “Trusted Profile” (Polish: „Profil Zaufany”).

– Check the data (Polish: Sprawdź dane).

– Confirm the operation using an SMS code, an in-app notification or another method used by the bank.

– After completing the procedure, log in again at pz.gov.pl and check the profile status (Polish: sprawdź status profilu).

The exact name of the tab and the sequence of steps depend on the bank.

What should you do if the SMS code does not arrive?

First:

– generate the code again; restart your phone; check the mobile signal and network connection; check whether your operator is experiencing an outage; make sure messages from SMS gateways are not blocked; and, where possible, insert the SIM card into another phone.

How long is a Trusted Profile (Polish: Profil Zaufany) valid?

A Trusted Profile (Polish: Profil Zaufany) is valid for three years from the date of confirmation.

To extend its validity:

– log in at pz.gov.pl (Polish: zaloguj się na pz.gov.pl);

– go to the “Trusted Profile” section (Polish: „Profil Zaufany”);

– open “Profile details” (Polish: „Szczegóły profilu”);

– select “Extend validity or change data” (Polish: „Przedłuż ważność lub zmień dane”);

– check the telephone number and email address (Polish: sprawdź numer telefonu i adres e-mail);

– confirm the operation using the codes sent by the system (Polish: potwierdź operację kodami przesłanymi przez system).

Once its validity has been extended, the profile will remain active for another three years.

Summary

The most reliable procedure for a foreign national is as follows:

obtain a PESEL number (Polish: uzyskanie numeru PESEL) → submit an online application (Polish: złożenie wniosku online) → confirm your identity in person at a confirmation point (Polish: osobiste potwierdzenie tożsamości w placówce) → activate the Trusted Profile (Polish: aktywny Profil Zaufany).

The second option is confirmation through a bank. However, the bank must hold the correct PESEL number and must have reliably verified the foreign national’s identity in advance. In practice, this often requires an earlier in-person visit to a bank branch.

A person without a PESEL number may create an ePUAP account (Polish: konto ePUAP), but cannot yet obtain a Trusted Profile (Polish: Profil Zaufany). They must first obtain a PESEL number and then submit and confirm an application for the profile.
