Privacy Policy

In accordance with the obligation to provide information under Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter “GDPR”), we present below our Privacy Policy, which explains how we collect and use personal data on the website www.instytutjęzykowy.pl.

Data Controller

The controller of your personal data is the MOBI Foundation, based at ul. Mazowiecka 12/24, 00-048 Warsaw (hereinafter MOBI).

1. Collection of information on website traffic

When you visit our website and browse its content, you leave certain statistical information about yourself, such as the way you use our website and your behavior on it. We use this information for statistical purposes and to optimize the content of our website. This information does not allow us to directly identify users.

2. Cookies

Cookies are small pieces of data, particularly text files, stored on the user’s device, serving various purposes. Cookies used by MOBI are applied for statistical and marketing purposes.

We use two types of cookies:

  • session cookies — temporary files deleted from the user’s device after ending the browser session or leaving the website,
  • persistent cookies — files stored for the time specified in them or until they are deleted by the user.

Cookies are stored on your device according to your browser settings. If your current cookie settings do not reflect your preferences, you may change them at any time. Instructions are available online.

Some cookies we place on your device are related to services provided by third parties (e.g., Google Inc. or Facebook Inc.) for marketing purposes. These companies are certified under the Privacy Shield program, ensuring secure data transfers to the USA.

3. Purposes, legal bases, and duration of personal data processing

Newsletter subscription:

We will send information about MOBI’s activities, including events, competitions, and promotions, to the email address you provide.

  • Legal basis: Art. 6(1)(a) GDPR — consent given by voluntary subscription.
  • Retention period: until consent is withdrawn.

Marketing:

Your personal data will be used for marketing purposes as specified in your consent (via phone and/or email). These data will not be shared with entities other than MOBI. If you are already our student, we may also send you commercial information based on our legitimate interest.

  • Legal basis: Art. 6(1)(a) GDPR — consent; Art. 6(1)(f) GDPR — legitimate interest.
  • Retention period: until consent is withdrawn or objection is raised.

Contact form:

If you use the contact form, the information you provide, including your contact details, will be used to process your inquiry.

  • Legal basis: Art. 6(1)(a) GDPR — consent.
  • Retention period: during the processing of your inquiry and for up to 1 year thereafter.

Correspondence:

We process personal data when corresponding with you by email or traditional mail.

  • Legal basis: Depending on the content — Art. 6(1)(b), (c), or (f) GDPR.
  • Retention period: for the duration of cooperation and thereafter, as long as required by law (e.g., tax obligations) or until claims are time-barred.

Promotions:

MOBI organizes various promotional campaigns, using data submitted via forms. Detailed rules are provided in campaign regulations.

Vouchers:

MOBI offers vouchers for the services of the Polish Linguistic Institute. For voucher use, we process the data of the designated recipient.

  • Legal basis: Art. 6(1)(f) GDPR — legitimate interest of a third party.
  • Retention period: 6 years for accounting purposes.

Language test:

Filling out the test is necessary to determine your language level and assign you to the right group.

  • Legal basis: Art. 6(1)(a) GDPR — consent.
  • Retention period: until consent is withdrawn or up to 2 months after the end of the recruitment trimester.

Preference questionnaire:

Outside recruitment periods, we may ask you to fill in a questionnaire to better match you with a language group and for statistical purposes.

  • Legal basis: Art. 6(1)(b) and (f) GDPR.
  • Retention period: up to 2 months after the end of the nearest recruitment trimester.

4. Disclosure of personal data

To provide services related to the activities of the Language Institute, we cooperate with:

  • IT service providers: Primeon sp. z o.o., Google Inc., MailChimp Inc., ManyChat,
  • postal, courier, and shipping companies,
  • marketing agencies: zpomysłami.pl sp. z o.o.,
  • accounting services: Jerzy Adamczyk Marta Wróblewska Finari Group s.c.

5. Data transfers outside the EEA

In connection with the activities described in section 2, personal data may be transferred outside the European Economic Area. Such transfers are secure, as our partners comply with the conditions of the Privacy Shield program.

6. Rights related to personal data processing

You have the right to:

  • access your data,
  • rectify your data,
  • erase your data (“right to be forgotten”),
  • restrict processing,
  • withdraw consent at any time,
  • object to processing,
  • data portability.

All requests should be submitted as described in section 8.

Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

You also have the right to lodge a complaint with a supervisory authority (in Poland: the President of the Personal Data Protection Office).

7. Obligation to provide data

Providing personal data for the purposes described in this Policy is voluntary. Failure to provide data may result in the inability to use certain services.
